Position: Admissions & Administrative Coordinator
Department: Administration & Education
Reports To: Director of Operations
Status: Part-Time (with potential for Full-Time based on organizational need)
Hours: 32-40 hrs/week (including some evenings and weekends)
Compensation: $20–$25 per hour (based on experience; paid biweekly) and benefits
Location: Hybrid (on-site at Tech25 with some remote flexibility)


Overview:
Tech25 provides career-connected education and workforce development for underrepresented youth and adults entering the event production, broadcast, and entertainment industries. Our programs range from foundational audio and lighting classes to masterclasses, workshops, and full apprenticeship programs. We’re seeking a detail-oriented and personable Admissions & Administrative Assistant to support program coordination, student intake, and external communications.


Job Summary:
The Admissions & Administrative Assistant will be the first point of contact for incoming students, families, and program partners. This position is responsible for managing new student inquiries, building and maintaining class rosters across multiple programs, scheduling visits and tours, and responding to all Tech25 inquiries regarding educational programs and event production services. The role includes administrative support for internal initiatives such as core programs, the BPM Starter Pack program, program inquiries, onsite events, and requires flexible availability, including some evenings and weekends as needed for events, workshops, and classes. 


Key Responsibilities:

Admissions Coordination

  • Serve as the primary point of contact for all new student inquiries and clients
  • Build and maintain class rosters for programs including Audio Basics, Lighting Basics, Video Basics, Live Sound 1 & 2, Intermediate courses, and all workshops/masterclasses
  • Help schedule students for events and show calls (GIgAlert, etc)
  • Track student progress using CRM or shared enrollment systems from intake through program completion and long term followup.
  • Schedule and coordinate student visits, family meetings, and school or organizational site visits
  • Assist with onboarding documentation, registration, and confirmation communications


Administrative Support

  • Respond to inquiries from schools, OST providers, and community partners about Tech25 programming and contract services
  • Coordinate field trip and site visit logistics for prospective school or youth groups including scheduling and confirming staff, space usage, and conflicting events.
  • Support administrative aspects of specialized programs such as the Ableton BPM Starter Packs (e.g., tracking student access, managing digital files, scheduling sessions)
  • Prepare and distribute program information packets, digital forms, and follow-up communication
  • Maintain organized and updated records for all current and prospective students
  • Organizational Support & Communication
  • Collaborate with the Director of Operations to streamline systems for registration and program tracking
  • Support Tech25 marketing and outreach by communicating program information accurately and promptly
  • Attend occasional evening and weekend events to assist with student check-in, visitor coordination, and program promotion
  • Communicate with all instructors about each new incoming class, give them the attendance sheets and student contact list
  • Get Admissions process from Steve for DocuSign, steps for student enrollment, donatino requests, email templates, etc


Preferred Qualifications:

  • Strong organizational and communication skills
  • Experience in administrative support, admissions, or youth program coordination
  • Ability to manage multiple class schedules and student rosters simultaneously
  • Comfortable interacting with students, families, educators, and institutional partners
  • Familiarity with Google Workspace, Excel, and CRM or data-tracking systems
  • Bonus: experience with creative or technical education, especially digital audio/video

Work Schedule:

  • 32 hours per week
  • Some evening and weekend availability required based on class and event schedules
  • Hybrid flexibility, with regular in-person presence during class cycles and events
